The same client details typed into three systems. A document chased twice because nobody knew it had arrived. A follow-up that relied on someone remembering. This is about your office and IT processes, not your machinery. We find where the time goes and design it out, whether that means a smarter process, the right tool or no tool at all.
Sound familiar?
Each of these was a job in our own firm. Here is what we did about it.
Typing up call notes
Every client call ended with someone typing up what was said. We built a transcriber. The call becomes a written note without anyone typing.
Folders full of scan0001.pdf
Client documents arrived unnamed and unfiled. We built a tool that reads each one, works out what it is and files it correctly.
The chase list in someone’s head
Missed payments lived in a spreadsheet, and chasing them lived in one person’s memory. Now it is a proper chase list nobody has to remember.
The protect, attach, text chain
Sending a client pack meant merge, password, attach, then a separate text with the password. It became one button. Written up in the sample recommendation.
How we fix it
Map
We map how work flows today, including the workarounds nobody wrote down. We watch the work being done, not just described.
Target
We pinpoint the highest-impact bottlenecks worth fixing first.
Streamline
Then we cut the time out, by redesigning the process, joining up the tools you have or automating the repetitive parts. Whatever saves the most, with the least disruption.
Prove
Nothing counts as fixed until your team has run it and the hours have gone. We measure before and after, and if it did not save time we say so.
Our job is to give you time back
Success here means hours back, and sometimes the best fix doesn’t cost a penny in licences. The quickest way in is a Technology Review Day, where we map the process with you and leave you a prioritised plan.
